The Women’s Rugby World Cup 2025 was the largest edition of the tournament in its history. Held across England from 22 August to 27 September 2025, the five-week competition spanned eight stadiums and 32 working venues across multiple host cities, culminating in a finals weekend at Allianz Stadium, Twickenham. World Rugby required a Tournament Management System Provider capable of coordinating every operational layer of the event – from athlete accreditation and accommodation logistics to media operations and workforce scheduling – within a single, integrated platform.

 

Solution

As World Rugby’s Official Tournament Management System Provider, Wiz-Team deployed Event-Works – its configurable all-in-one event management solution – across the full tournament footprint. Operating from the Match Operations Centre at Allianz Stadium, Twickenham, Wiz-Team staff worked hand-in-hand with World Rugby throughout the competition, providing real-time operational support.

 

Event-Works was configured to manage:

  • Accreditations for players, officials, media, and workforce, with secure access control across all venues
  • Travel logistics, tracking arrivals and departures throughout the tournament
  • Accommodation coordination across multiple host cities
  • Workforce and volunteer management, including registration, role assignment, and shift scheduling
  • Guest management for the World Rugby Tournament Guest Programme
  • Media operations, supporting accredited journalists and broadcasters delivering global coverage

 

The platform’s suite of customisable tools allowed the system to adapt to the dieting requirements of each venue while maintaining a unified view of tournament-wide operations.

 

Results

Event-Works provided organisers with the clarity, control and confidence needed to run a tournament of unprecedented scale.

Key operational outcomes included:

  • 11’000+ accreditations issued and managed
  • 1’120+ arrivals and departures tracked
  • 1’242 rooms coordinated
  • 4,300 volunteer registrations processed
  • 1,175 volunteers hired and rostered
  • 8,000 + shifts created across 930 roles
  • 600+ guests hosted within the World Rugby Tournament Guest Programme
  • Approximately 660 accredited media supported
